What this policy covers
This policy covers personal information we handle through this website, enquiries, business relationships and the services we provide. A particular assignment may also have its own privacy, confidentiality or participation notice. If so, that notice applies alongside this policy.
Information you give us
When you contact us, we may collect your name, work contact details, organisation, role, preferred contact method and the information you choose to share about an enquiry or assignment. If you become a client, supplier, contractor or partner, we may also collect information needed to manage the relationship, provide services, keep business records and arrange payment.
Information collected during our work
During an assignment, we may receive personal information about client contacts, employees, contractors, customers or other stakeholders where it is relevant to the agreed work. We aim to collect only what is reasonably necessary for the assignment.
Confidential interview services, including Human Lens, use a project-specific explanation of how information will be collected, handled and reported. That explanation is provided to the client and participants as appropriate for the assignment.
Information collected from other sources
We may receive work contact details or relevant business information from a client, referral, partner, contractor or public business source. Where the Privacy Act requires us to tell you about information obtained indirectly, we will take reasonable steps to do so unless an exception applies.
Website and enquiry information
The website enquiry form operates in your browser. Selecting “Prepare my enquiry” opens your email application with the details completed. The website does not receive or store those form details. Bottomline Lab receives them only if you choose to send the email.
Our website hosting provider may record basic technical information, such as an IP address, browser or device type, requested page, time and security events, to host, protect and operate the website.
Why we use personal information
We may use personal information to:
- Respond to an enquiry and understand what support may be needed.
- Plan, agree and provide services.
- Communicate with clients, participants, suppliers and partners.
- Administer contracts, invoices and business records.
- Improve our services and maintain the security of our systems.

Your choice
Providing personal information is generally voluntary. If you do not provide information needed to understand an enquiry, arrange an assignment or meet a legal requirement, we may not be able to respond fully or provide the requested service.
Who we may share it with
We do not sell or rent personal information. Where reasonably needed for the purpose it was collected, we may share it with people working for or with Bottomline Lab, a specialist or partner involved in an agreed assignment, and trusted providers supporting website hosting, email, document storage, accounting and business administration.
We may also disclose information where you authorise it, where the law requires or permits it, or where disclosure is reasonably necessary to protect a person, our rights or the security of our services. We expect people and providers handling personal information for us to protect it and use it only for the relevant purpose.
Information handled outside New Zealand
Some service providers may process or store information outside New Zealand. Where personal information is disclosed to an overseas person or organisation, we will handle that disclosure as required by the Privacy Act 2020.
Storage and security
We use safeguards that we consider reasonable for the nature of the information and the circumstances. These may include access controls, appropriate confidentiality arrangements and reputable service providers. No internet transmission or storage system can be guaranteed completely secure.
How long we keep information
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, to maintain appropriate business records or to meet legal obligations. We then securely delete, anonymise or dispose of it where reasonably practicable.
Access and correction
You may ask whether Bottomline Lab holds personal information about you, request access to it and ask us to correct it. Contact our Privacy Officer at [email protected]. We may need to confirm your identity before responding and will deal with the request in line with the Privacy Act 2020.
Privacy concerns and complaints
Please contact our Privacy Officer first if you have a concern. We will take it seriously and try to resolve it. You may also make a complaint to the New Zealand Office of the Privacy Commissioner at privacy.org.nz.
Privacy breaches
If a privacy breach occurs, we will assess it and take appropriate steps to reduce harm. We will notify the Office of the Privacy Commissioner and affected people where the Privacy Act requires us to do so.
Changes
We may update this policy when our services, systems or legal obligations change. The effective date at the top of the page shows when it was last updated.
